Complaints and Feedback

Bluebell Haven Care welcomes complaints, compliments and suggestions. We will listen respectfully, review concerns fairly and use feedback to improve our services, communication and working practices.

LISTENING, LEARNING AND IMPROVING

Your experience matters

We want people to feel able to tell us when something has gone well, when an experience has fallen below expectations or when there is an opportunity to improve.

You do not need to use formal language, quote a policy or know exactly which Bluebell Haven Care service is involved. Explain what happened in your own words and tell us what you believe would help resolve the matter.

Raising a genuine complaint will not affect your right to receive fair and respectful treatment. We will consider concerns objectively, protect relevant information and identify any learning or corrective action required.

Use the complaints form when you are dissatisfied with a Bluebell Haven Care service, communication, decision, worker, recruitment process, screening activity, fee or introduction process.

COMPLAINTS AND FEEDBACK FORM

Tell us about your experience

Use this form to make a complaint, share a compliment, suggest an improvement or raise a data protection concern. Fields marked with an asterisk are required.

Do not use this form for an emergency. Call 999 if someone is in immediate danger. Where the concern involves suspected abuse, neglect or exploitation, also follow our Safeguarding and Raising Concerns guidance.

Do not submit medical records, care plans, identity documents, bank details, employment records or other sensitive attachments through this initial form. We will explain a secure route if supporting documents are genuinely required.

Before you send: If the hCaptcha hand icon or security challenge appears, complete it first. Then select Submit Complaint or Feedback.
  • 1. We acknowledge and direct it

We confirm receipt, identify whether the matter is a complaint, safeguarding concern, data protection complaint, employment issue or another type of feedback and assign it appropriately.

  • 2. We assess risk and scope

We consider whether anyone may be at risk, what Bluebell Haven Care is responsible for and whether another organisation or statutory authority must be involved.

  • 3. We review the evidence

We make appropriate enquiries, review relevant records and seek information from the people involved while aiming to remain fair and objective.

  • 4. We explain the outcome

We communicate the findings, any action or learning identified and the available review or external route where one applies.

DATA PROTECTION COMPLAINTS

Concerned about how we handled your personal information?

You can complain if you believe Bluebell Haven Care collected, used, stored, shared, secured, retained or responded to a request about personal information in a way that did not comply with data protection law.

Use the form on this page and select “Data protection or privacy complaint”, or email support@bluebellhavencare.co.uk with the subject “Data protection complaint”.

We will acknowledge a data protection complaint within 30 days, make appropriate enquiries, keep you informed and communicate the outcome without undue delay. If you remain dissatisfied, you may raise the matter with the Information Commissioner’s Office.

SERVICE-SPECIFIC COMPLAINTS

How different complaints will be considered

Complaints about Home Support

Bluebell Haven Care can review complaints about its Home Support arrangements, communication, workers, service scope, scheduling, conduct, records, fees and how concerns were handled.

Where the complaint also indicates possible abuse, neglect, exploitation or immediate risk, safeguarding action will take priority.

Complaints about a Personal Assistant introduction

Bluebell Haven Care can review concerns about its search requirements, candidate information, agreed screening, communication, fees and introduction process.

After an introduction, the individual or representative is responsible for directing and managing the ongoing arrangement with the chosen Personal Assistant. Bluebell cannot manage the entire direct employment relationship, but it will act on concerns connected with its own introduction work and share safeguarding information where necessary.

Complaints about staffing and recruitment

Bluebell Haven Care can review complaints about recruitment communication, candidate information, screening, terms, worker supply, payments within its responsibility and the conduct of its workers or representatives.

A hiring organisation remains responsible for local induction, workplace procedures and day-to-day direction within an agreed staffing assignment.

Complaints from workers, applicants or agency workers

Workers and applicants may complain about recruitment, communication, assignment arrangements, pay, conduct, discrimination or another employment-related concern.

Where the issue is an individual workplace grievance, the appropriate employment or grievance procedure may also apply.

Agency workers should normally try to resolve a problem with the agency first and put a formal complaint in writing where necessary. For independent guidance, read If there’s a problem with the agency on the Acas website.

Where a complaint may involve a breach of employment-agency legislation, read Making a complaint to the Fair Work Agency about your recruitment agency on GOV.UK.

Can someone complain on another person’s behalf?

Yes. A relative, advocate, representative or professional may raise a complaint on someone else’s behalf.

Before sharing confidential personal information, Bluebell Haven Care may need to confirm the person’s authority or the individual’s consent. This will not prevent an immediate safeguarding concern from being reported and acted upon.

Will raising a complaint affect my service or application?

A person should not receive unfair or retaliatory treatment for raising a genuine concern or complaint in good faith.

Decisions about services, work, applications or arrangements will continue to be based on relevant information, responsibilities, safety and the applicable terms.

What if I remain dissatisfied?

Tell us why you remain dissatisfied and ask for the complaint and response to be reviewed by a senior person who was not previously responsible for the decision, where this is reasonably practicable.

We will explain any external route that applies to the particular issue and arrangement. Depending on the subject, this may include a commissioning organisation, local authority safeguarding team, Acas, the Fair Work Agency, the Information Commissioner’s Office or the police.

The correct external route varies, so Bluebell Haven Care will not direct every complaint to the same organisation.

Is a complaint the same as a safeguarding concern?

Not always. A complaint may relate to communication, delays, service quality, fees or another experience without indicating abuse or neglect.

Where information suggests that someone may be at risk of harm, abuse, neglect, exploitation or unsafe practice, safeguarding action takes priority over the ordinary complaints process.

If you are unsure which route to use, read our Safeguarding and Raising Concerns guidance. If someone is in immediate danger, call 999.
